Fleet operations platform covering asset lifecycle, dispatch, inspections and settlement
A CodeIgniter-based operations platform that replaced spreadsheets and paper forms with one system of record for a distributed vehicle fleet — asset register, dispatch, digital inspections, tire and fuel tracking, settlement and a configurable approval workflow engine.
The operator's fleet data was spread across incompatible tools: purchase details in one place, maintenance history in another, inspections on paper, tire history in a spreadsheet. Approvals happened over email with no reliable record of who approved what. Two of the biggest controllable cost lines — fuel and tires — were tracked but never analysed, and an existing legacy database still held data the business depended on and couldn't simply be thrown away.
Modelled the asset lifecycle before building any screens — how a unit enters the fleet, what gets consumed against it, what has to be inspected, how it eventually leaves — and built shared master data (equipment types, manufacturers, vendors, locations) first, since every other module reads from it. Rather than hard-coding each approval path, built a configurable workflow engine: processes made of stages, stages carrying dynamically composed form components, requests routed with status and commentary recorded at every step, so a new approval process becomes a configuration change instead of a deployment.
The platform was modernised module by module while it stayed in production — newer controller and view generations ran side by side with the originals, so each module could be cut over individually with an immediate fallback. Connected the existing back-office database as a secondary read source instead of attempting a migration, and wired an automated CI pipeline (dependency install, deploy, autoloader regeneration, FPM reload, permission fix) so releases to a live operational system stayed repeatable.
Every asset now resolves to one record — specification, ownership, location, maintenance, inspections, tires, fuel and documents — instead of requiring several sources assembled by hand. Fuel deviation and tire lifecycle are monitored systematically rather than reviewed manually, inspections are captured digitally with a formatted PDF generated on demand, and the business adopted the new platform without first decommissioning the system it replaced.
